Audit and Discovery

We meet the people doing the work and run an on-site or remote process audit across the relevant departments, mapping current state workflows and capturing where work slows down, where mistakes happen, and where decisions sit with people that a system could handle.

Nothing is built in this phase. You approve the findings before we proceed.

Phase 2

Future State Design and Approval

We define decision rules, approvals, handoffs, and where agentic workflows can take over routine decisions and routing. With your team, we draw the line between what the system handles and what stays with a person. Every build component is scoped and approved before development begins, and your IT and operations teams review the plan.

Deliverable: Future state workflow map and implementation plan.

Phase 3

Build and Integration

We build automation systems and AI workflows inside your existing accounts and tools, following your security, access, and change control requirements. Each component is tested in a staging environment before going live.

We only introduce a new tool when it is required and approved. If it does not improve outcomes, we do not add it.

Deliverable: Working workflows in your environment, with documentation.

Phase 4

Testing and Edge Cases

We test real scenarios and failure cases. We define escalation paths together, so when a workflow hits something outside its agreed decision authority, it routes to a human with full context.

Training and Rollout

We train staff by role, and deliver approved prompt templates, usage guidelines, and role-specific documentation. We reduce risk by making safe usage easy.

We do not hand staff a general-purpose AI tool and wish them well.

Handover and Stabilisation

We hand over control to your team, then run a 30-day stabilisation window: tuning, reliability, and edge cases. We monitor live systems and resolve edge cases. It is not a second build phase.

We work inside your policies.

Not around them.

If you already have usage policies, data classification rules, or an internal LLM environment, we do not bypass them. We build within them.

We integrate our workflows with your internal LLM environment. We do not connect external AI tools without approval, and we do not ask staff to use personal or consumer AI accounts for work.

2 to 4 days on-site for audit, design, and training, then implementation and rollout. Best for organisations that prefer face-to-face work or have complex multi-team processes.

Hybrid

1 day on-site for discovery, then remote implementation and training. Suitable for organisations with distributed teams or interstate leadership.

Multi-location

Across multiple offices or sites, we structure the engagement to cover each location with consistent documentation and training. Quoted on sites and team size.

All formats include the same deliverables, governance documentation, and handover process.

Ownership

You own what we build.

We build under your accounts where possible. We are not a layer between you and your systems.

We do not mark up tool costs. You pay for your tools at the published rate, directly to the providers. We charge for our time and expertise.

We work until your team can run it without us, and after that you only pay again if you choose to. We do not create dependency as a retention strategy.

If the engagement ends, your systems keep running. Your staff have the documentation. Your team has the training. Nothing is locked behind our login.

We already have an IT team. Where do you fit?

We work alongside your IT team, not instead of them. IT retains ownership, and you receive full documentation at handover so your team can audit and maintain everything we build.

We are in a regulated industry with strict data policies. Can you still help?

Yes. Data stays in your accounts, stored in Australia. Some processing may briefly run overseas and is deleted straight after, never used to train external models. For health or patient records, we can keep processing on Australian-region services so it stays fully onshore. We work inside your governance and do not connect external tools without approval.

We already use AI internally. Does that change the scope?

It depends on your deployment. If you have an internal LLM environment, we build within it and extend what you have already approved rather than introducing competing tools.

What happens after the engagement ends?

Your systems keep running. Your team has the documentation and training. Ongoing support is optional and separate. No ongoing fee is required to keep your systems alive.

How long does an engagement take?

A single-department engagement runs about six to ten weeks. A cross-department enterprise program runs three to five months. The exact timeline is defined during scoping.

Why is intake limited?

We do not take on more than we can deliver properly. Fewer engagements, each given senior-level attention, is how we keep the quality high.

What is included in the starting price?

$45,000 reflects the starting point for a three-month cross-department engagement. Final investment is confirmed after scoping. We do not quote a precise figure without scoping the work first.

What happens if a tool updates and breaks something?

The 30-day stabilisation window tunes for reliability, and you receive full documentation for basic maintenance. You can also retain us for ongoing support if you prefer.

Do we need to buy new software?

Not necessarily. We prioritise your existing stack and only recommend new tools if they solve a problem your current tools cannot and the ROI is clear.
