The ROOVOLT Ownership Promise
Your automations are built under your company accounts. If you stop paying us, your systems keep running. We work until your team can run it without us. After that, you only pay again if you choose to.
Implementation, Adoption, and Governance.
Not just strategy.
Good consultants do valuable work. Strategy, process mapping, recommendations. That work matters. But the gap between a well-scoped plan and a working system is where most engagements stall.
We do the build. We run the training. We write the documentation. We hand over a system your team can operate and evolve.
We work inside your existing stack first. We do not introduce new tools unless they are necessary and approved by your team. We do not rebuild processes that are working.
What we leave behind is not a report. It is running systems, trained staff, and documented workflows with decision logic your team helped define, acting on your behalf between human touchpoints.
For the COO or Business Owner
What this changes.
Fewer handoffs between people and teams.
Less manual chasing across the customer journey.
Cleaner intake so work starts with the right information.
Better visibility through reporting that pulls from live systems.
Safe AI usage with clear controls for client data and internal information.
Workflows that handle decisions, route exceptions, and escalate when they should, all within boundaries your team defines.
A system your team can operate and improve without vendor lock-in.
We build systems you own. No ongoing dependency on us to keep them running. We work within your existing tools, policies, and governance framework. We operate under your accounts where possible. No markup on tool costs.
A phased approach with approval gates means you control what gets built and when.

Why it is safe to bring us in
We work within your governance structure, not around it. We do not connect systems without documented approval. We do not introduce external tools without sign-off. We produce documentation your team can audit and maintain.
We build so sensitive and regulated data stays inside your own accounts and credentials, stored in Australia, with manual audit trails where compliance needs a person in the loop. Some processing steps may briefly run overseas and are deleted straight after, never retained or used to train external models. Where a workload cannot leave Australia at all, such as health or patient records, we can run that processing on Australian-region services so it stays fully onshore. We understand what it means to operate under internal compliance and IT policy constraints.
We integrate with your existing environment. We respect your security protocols and data handling policies. You receive a complete handover of every system we build.
Who This Is For
We partner well with organisations that:
Have existing systems and want to make them work better together
Have begun using AI in some form and want to embed it more deliberately into daily workflows
Have work that moves between sales, ops, admin, and service delivery with too many manual handoffs
Have a team that needs structured training, not just access to a tool
Want clear deliverables, documented processes, and a working handover
Value governance and accountability as much as capability
Operate in high-trust environments where data handling matters
We build for environments where compliance, data handling, and internal controls are non-negotiable, keeping sensitive data inside your own accounts. We build with that reality in mind.
This is not the right fit if:
You are looking for a one-off software delivery with no change management
You need a technology vendor to sell and manage proprietary software on your behalf
You want to bypass your internal IT and security protocols
Your organisation is not ready to commit internal stakeholder time to the process
What Better Looks Like, With Real Numbers
What one 70-staff professional services firm measured
38 to under 3
hours of manual admin a week
9 weeks
to positive ROI
27 of 30
staff using it every day
That is one client's measured result, not a promise for yours.
We do not make percentage promises. Every business is different and outcomes depend on scope, team, and starting conditions.
What we do commit to: by the end of an engagement, you will have documented workflows, trained staff, and running systems. You will be able to measure what has changed because we build the measurement into the process.
Outcomes our clients work toward:
Faster lead response times
Reduction in manual handoffs between departments
Less time spent on follow-up and admin
Fewer errors caused by missing information
Consistent handling of repetitive high-volume tasks
Clearer visibility for leadership through reporting that pulls from live data
Staff spending less time on process and more time on judgement
AI usage that is approved, documented, and repeatable across roles
Workflows that qualify, route, and act within boundaries your team helped set
What's Included

30-day stabilisation window post go-live
Full documentation and handover pack
On the 30-day stabilisation window
This is not a second build phase. It is a tuning and reliability period. We monitor live systems, resolve edge cases, and make adjustments before formal handover.
We are currently accepting a limited number of new enterprise partners this quarter. This is how we maintain quality and give each engagement the attention it needs.
Book a Strategy CallHow It Works
A phased approach with clear approval gates.
Phase 1
Audit and Discovery
We meet the people doing the work. We conduct an on-site or remote process audit across the relevant departments. We map current state workflows and capture where work slows down, where mistakes happen, and where decisions sit with people that could be handled by systems.
Nothing is built in this phase. You approve the findings before we proceed.
Deliverable: Current state workflow map.
Phase 2
Future State Design and Approval
We design the future state. We define decision rules, approvals, handoffs, and where agentic workflows can take over routine decisions and routing. We work with your team to draw the line between what the system handles and what stays with a person. Each build component is defined, scoped, and approved before development begins. Your IT and operations teams review this plan.
Deliverable: Future state workflow map and implementation plan.
Phase 3
Build and Integration
We build automation systems and AI workflows inside your existing accounts and tools. We do not introduce new platforms without your approval. We follow your security, access, and change control requirements. Each component is tested in a staging environment before going live.
We only introduce a new tool when it is required and approved. If it does not improve outcomes, we do not add it.
Deliverable: Working workflows in your environment, with documentation.
Phase 4
Testing and Edge Cases
We test real scenarios. We test failure cases. We define escalation paths together so that when an automated workflow hits something outside its agreed decision authority, it routes to a human with full context.
Deliverable: Go-live checklist and monitoring plan.
Phase 5
Training and Rollout
We train staff by role. We deliver approved prompt templates, usage guidelines, and role-specific documentation. We reduce risk by making safe usage easy.
We do not hand staff a general-purpose AI tool and wish them well.
Deliverable: Role-based training pack and approved prompt templates.
Phase 6
Handover and Stabilisation
We hand over control to your team. We run a 30-day stabilisation window. This is tuning, reliability, and edge cases. It is not a second build phase.
At the end of this window, we conduct a formal handover and close the engagement.
Deliverable: Handover pack and stabilisation plan.
We Work Inside Your Policies.
Not around them.
Many organisations in regulated or sensitive-data environments have already established internal frameworks for AI use. This may include an internal LLM environment, defined usage policies, data classification rules, and staff guidelines.
We do not bypass these frameworks. We build within them.
If your organisation has an internal LLM environment, we integrate our workflows with it. We do not connect external AI tools without approval. We do not ask staff to use personal or consumer AI accounts for work purposes.
Our role is to help make your existing approach more useful and more embedded in daily work. We help operationalise it. We take what you already have and design workflows that are lower-touch, with systems handling the decisions and routing that your team agrees don't need a person.
Before any build begins, we document:
Which systems we are connecting and how
What data flows where
Who has access to what
How outputs are reviewed and escalated
AI Safety and Data Handling
Practical controls, not policy theatre.
What staff can and cannot paste into AI tools
We produce role-specific usage guidelines that define acceptable inputs. This includes what types of data can be used in AI workflows and what must never be entered. These guidelines are written in plain language and approved by your team before distribution.
Prompt templates by role
We produce approved prompt templates for each role so that AI is used consistently and within defined boundaries.
Access controls
We build access controls into every system we create. Not every staff member needs access to every workflow. We document who can access what and why.
Data handling
Where workflows process sensitive information, we work with your team to define handling rules that match your existing data policies. We document these rules so your team can maintain and update them.
Escalation rules
Every automated workflow we build includes defined escalation points. We work with your team to define exactly where agents act independently and where they hand off to a person. When a situation falls outside those boundaries, the system routes to a human with full context intact.
Audit trail
If your organisation has existing IT controls and network monitoring, our systems work within that visibility. For businesses without a dedicated IT function, we can build user-authenticated access into the workflows so you have a clear record of who triggered what and when.
Your client data stays in your systems. You control access.
You Own What We Build.
We build under your accounts where possible. Your automation platforms, your AI environment, your credentials. We are not a layer between you and your systems.
We do not mark up tool costs. You pay for your tools at the published rate. We charge for our time and expertise.
We work until your team can run it without us. After that, you only pay again if you choose to. We do not create dependency as a retention strategy. Our goal is to leave your team capable of operating and maintaining what we build without needing us in the room.
If the engagement ends, your systems keep running. Your staff have the documentation. Your team has the training. Nothing is locked behind our login.
There are no hidden off-boarding fees. You own the intellectual property and the infrastructure from day one.
Engagement Formats
We work in the format that fits your organisation.
On-site intensive
2 to 4 days on-site for audit, design, and training phases. Then implementation and rollout. Best suited to organisations that prefer face-to-face collaboration or have complex multi-team processes.
Hybrid
1 day on-site for discovery, then remote implementation and training. Suitable for organisations with distributed teams or interstate leadership.
Multi-location
For organisations operating across multiple offices or sites, we structure the engagement to cover each location with consistent documentation and training. Quoted based on sites and team size.
All formats include the same deliverables, governance documentation, and handover process.
Frequently Asked Questions
Ready to Explore Whether This Is the Right Fit?
If you are weighing up options now, the honest next step is a direct conversation.
We will ask about your environment, your teams, and what you are trying to improve, then tell you straight whether it is worth us coming on-site to do it properly. No presentation, no proposal before we understand the problem.
